Due to the expansion of our business ventures and the escalating demands on both personal and professional fronts, we are seeking a skilled and motivated individual to serve as the right hand to our CEO. This individual will be responsible for coordinating and optimizing all aspects of the CEO's personal and professional commitments to maximize efficiency and time management.

Our CEO requires a proactive individual who can hit the ground running with minimal supervision, given the demanding nature of their schedule. We are searching for a motivated, resilient, and adaptable candidate who embraces challenges and excels in a fast-paced environment. The ideal candidate will possess strong forward-thinking capabilities, flexibility, initiative, and the ability to adapt to dynamic situations with ease. We are ideally seeking a candidate who is committed to a long-term, ongoing engagement with our company.

Responsibilities:

  • Act as a key liaison and clerical figure for the CEO, attending meetings and managing correspondence.
  • Handle all incoming and outgoing communications, including mail, emails, and calls.
  • Maintain confidentiality and organize personal and professional documents.
  • Manage the CEO's schedule, including appointment setting, event coordination, and sending reminders.
  • Facilitate travel arrangements and accommodations as needed.
  • Assist in document preparation, including typing, formatting, and editing reports and presentations.
  • Maintain databases, recordkeeping, and data entry tasks.
  • Provide administrative support such as copying, scanning, and note-taking during meetings.
  • Manage office supplies, mail, and courier services.
  • Always uphold best business practices and professional etiquette.

 

Requirements:

  • Minimum of 3 years' experience as a personal assistant or in a similar role would be advantageous.
  • Extensive proficiency in MS Office suite (Word, Excel, PowerPoint) for document creation and spreadsheet management.
  • Excellent written and verbal communication skills.
  • Strong organisational and multitasking abilities with keen eye of detail. 
  • Familiarity with appointment scheduling software and call forwarding systems.
  • Exceptional interpersonal skills and ability to work under pressure.
  • Self-motivated and able to prioritise tasks effectively.
  • Current driver's license and own vehicle for occasional travel requirements.
